How to Make Your Business Information Useful to AI Search and Assistants

By BizLookupPro · Published 2026-10-28

Make your business easy to identify, publish useful service and location facts on pages anyone can read, keep them current and make the evidence behind them traceable. Where a platform offers an authorised publishing integration, use it to maintain those facts, with the right permissions.

This improves what people and systems have to work with. It does not guarantee that an assistant will find, recommend or quote your business in any particular answer.

The practical task is to make the correct answer easier to establish. A special file or an "AI-ready" badge cannot fix an out-of-date phone number, an invented branch or a service description that leaves the job unclear.

Separate three ways information can reach an assistant

Route What happens What the business can usefully maintain
Public web discovery A system retrieves or uses indexed public pages Accessible, current and identifiable business facts
Connected directory/tool An assistant uses a supported integration to search records Accurate authorised records and the integration's actual data/permissions
Owner-directed preparation An owner gives an assistant approved information to organise A verified fact packet, evidence links and clear limits on inference

The routes can overlap, but they are not interchangeable. Publishing a page does not install a connector in every AI product. Connecting a tool does not guarantee an organic recommendation. And an assistant drafting a listing does not mean the owner has authorised publication.

Build a business fact packet

Create a small approved record a person or system can interpret without guessing. Include the facts that affect a customer's decision and the evidence supporting them.

Fact group Information to prepare Common ambiguity to remove
Identity Current trading name, website and branch relationship Similar names or old identities
Services Actual jobs, scope and meaningful exclusions A broad category implying every related service
Delivery model Public premises, travelling service, hybrid or remote Coverage being mistaken for an office
Geography Country/territory and useful locality/coverage Postal areas being treated as administrative branches
Contact Intentional public routes and response arrangement Account/recovery email mistaken for customer contact
Hours Applicable service/branch, timezone and exceptions A global hours string applied everywhere
Price Actual basis, currency, conditions and review date where published A starting amount being read as a complete quote
Authority/evidence Source URLs, owner confirmation and relevant claim scope A profile badge being read as proof of workmanship

Keep private customer records, personal addresses and account credentials out of the packet. An assistant does not need your CRM contacts to describe your public services.

Distinguish known, unknown and not public

A missing value can have several meanings. Use them deliberately in the working record:

  • Known: the fact is supported and may be used in the approved context.
  • Unknown: the business has not confirmed it.
  • Not applicable: the field does not describe this operation.
  • Not public: information may exist privately but must not be published.

These distinctions prevent common errors. Unknown hours should not turn into "closed". A remote business should not acquire a map pin. A private operating address should not be typed into a public field just because a form asks for one.

Add the date and responsible person for important confirmations. Current information is easier to maintain when the owner can tell what was checked and which event should trigger a review.

Put useful answers on the pages customers reach

Publish the business's actual service scope, location model and contact route in readable text. A page should help a customer decide whether a request fits before it asks them to enquire.

Use descriptive service and location pages connected through ordinary navigation. Keep crucial facts available outside images, decorative interactions or account-only screens where public discovery is intended.

Google says its existing SEO foundations apply to AI Overviews and AI Mode, with no special AI markup or additional machine-readable file required. Eligibility still depends on ordinary search requirements, and inclusion is not guaranteed. Google's AI-feature guidance

Use the service-page brief and location-page decision guide to improve the underlying answers. Rewriting a vague claim as a more technical-sounding vague claim does not supply the missing facts.

Keep structured information consistent with visible facts

Structured data can describe a business and its properties in a machine-readable form. The vocabulary and the destination platform's eligibility requirements are different concerns.

Schema.org defines LocalBusiness as a physical business or branch. Google separately documents the properties and policies for its local-business search features. A developer should choose the appropriate representation for the real operation and keep it consistent with visible content. Schema.org LocalBusiness, Google LocalBusiness guidance

Do not invent an address, rating, price or opening schedule to satisfy a tool's completeness indicator. A valid data structure can still make an untrue business claim.

For a service-area or remote operation, preserve the correct model and privacy treatment. Technical presentation should express the facts the owner has approved.

Understand search access and training controls separately

A website can permit a search crawler while making a different choice about model-training crawlers. Those controls need to be checked per provider rather than treated as one global AI switch.

OpenAI documents OAI-SearchBot for ChatGPT search and GPTBot for potential training use, with independent controls. It also identifies ChatGPT-User for certain user-initiated activity. Allowing the relevant search access and avoiding accidental hosting/firewall blocks supports eligibility; it does not buy a recommendation. OpenAI crawler documentation

Ask the website supplier to review the current official instructions and actual server behaviour. A robots file is not a security boundary for private information. Keep private records behind appropriate access rather than publishing them and hoping a crawler instruction will protect them.

What MCP and APIs change for an owner

MCP is a standard for connecting AI applications with external data and tools. A directory using a supported integration can expose specific search or publishing capabilities to a connected client. That requires a functioning service and a compatible configured connection. Official MCP introduction

For the owner, the useful questions are practical:

  • Can the assistant retrieve the same current public facts a person sees?
  • Can it validate a proposed listing before submission?
  • Which business records can the connected account manage?
  • What confirms owner or agency authority?
  • Does a returned status mean draft, submitted, under review or published?
  • Can the owner revoke the connection and correct the listing directly?

A legitimate integration should preserve those distinctions. Payment, an API key or knowledge of a business's website does not by itself prove authority to manage its claimed identity.

Use an assistant to prepare a listing without inventing facts

A useful owner instruction can be narrow:

Use the approved business facts and the public source links supplied here to prepare a listing draft. Keep the stated service area and location privacy. Identify missing or conflicting details as questions. Do not invent qualifications, prices, hours, branches or customer results. Show the proposed facts for review before any authorised submission.

This is a preparation example. Review the output against the fact packet, especially numbers, place names, service scope and implied credentials.

If a supported publishing tool is connected, authorise only the actions needed for the intended business. Keep account secrets out of ordinary prompts and require the platform's actual authority/consent process. A returned draft should remain a draft until the applicable submission and review steps are complete.

Test answers with a question set

Use a small set of customer questions and an approved answer sheet. The exercise checks accuracy in a particular context; it is not a universal AI ranking test.

Test question What a good supported answer establishes
Does this business perform a specific job? Current service scope and any relevant exclusion
Can it serve this area? Genuine coverage without an invented branch
Can I visit? Correct premises/appointment/service-area model
When is it available? Applicable hours, timezone and uncertainty
What will it cost? Published basis or the information needed for a quotation
How do I contact it? Current intentional public route
What supports the answer? A relevant source, date/context and honest limits

Record the prompt, date, product or tool context and sources actually cited. Check those sources rather than trusting a confident answer.

If an answer is wrong, trace the relevant public source or tool record. Correct the maintained facts through the appropriate route. Repeatedly prompting for a preferred answer does not establish that the underlying discovery problem has been fixed.

Worked example: a mobile repair provider

The business in this example is fictional. A mobile repairer describes itself as repairs everywhere, always available. It has no genuine walk-in premises, but an old directory still shows its home as an office.

The owner replaces the vague description with supported equipment scope, actual coverage and response hours. The private address receives the appropriate correction, and the public pages explain how to request an assessment. A current fact packet identifies unknown prices as quotation-dependent rather than free or fixed.

An assistant can now be tested against specific questions using those sources. If a connected directory still returns the old address, that is a record correction task. If a public-search answer cites an obsolete page, the owner can identify the source and seek the appropriate correction.

What improves is the quality and traceability of the information. Nothing here guarantees inclusion in any assistant's future answers.

Measure useful outcomes and keep the facts current

Track identifiable visits and genuine enquiries where the source is available, with privacy and attribution limits. Keep unknown source values and avoid assigning every unexplained contact to AI.

Use the measurement guide to distinguish website events from business outcomes and the identity register to maintain facts after a move, service change or staff handover.

AI-assisted discovery is one more reason to keep your public business record precise. The same work helps human customers, who can recognise the provider, understand the offer and act on information the business can back up.

Allow optional analytics? They stay off until you choose and never include private workspace activity. Privacy details

Optional analytics are off unless you previously allowed them.
